- If one or more of your employees will be using a new program, they must be granted access via either the Manage Users or Manage User Groups program.
- New user permissions (e.g., Allowed to delete a sales order line?) are set to "No" for all users. If an employee needs that permission, change the user or user group permission to "Yes" via either the Manage Users or Manage User Groups program.
Capstone v23.07 Release Notes:
A new program called “SO Payments Not Sent to QuickBooks” will display a list of sales order payments that were entered in Capstone but not successfully sent to QuickBooks Online (for example, if QuickBooks Online was offline). This program allows you to resend these payments. If stranded records are found, you can select the payments you want to resend and press the [Send Selected Payments] button at the bottom of the screen.
A new inquiry called “Replacement Cost” will allow you to view the replacement cost for an item or list of items. As shown below, you will be prompted “Item Code begins with” and Capstone will list the matching items. From this screen, you can also access the Manage Replacement Costs program and the Purchase Order Receipts inquiry for the specified item.
A new inquiry called “Sales Order Status” will allow you to enter a sales order number and view the lines of the sales order. From this screen you may also view order notes, line notes, profitability information, and shipments.
If one or more shipments are on file for a sales order, a new option labeled “View sales order shipments” will be listed on the Options menu accessed via the Enter/Edit Sales Transactions program’s Header Info screen.
A permission labeled “Allowed to create a short shipment?” has been added to the Manage Permissions screen accessed via the Manage Users and Manage User Groups programs. When this permission is set to No, the user will not be allowed to add a sales order shipment that would create a backorder situation.
A permission labeled “Allowed to delete a sales order line?” has been added to the Manage Permissions screen accessed via the Manage Users and Manage User Groups programs. When this permission is set to No, the user will not be allowed to delete a sales order line even if he or she entered the order.
An export called “Work Order Input Records” has been added. As shown below, this export can be filtered by warehouse, due date, work order status, work center, input category, and more.
An export called “Work Order Output Records” has been added. This export can be filtered by warehouse, date, order status, work center, category, and more.
A new export called “Summary Customer Profitability” will allow you to view gross revenue, net revenue, costs, profit, and margin. This export can be filtered by transaction date, customer or customer group, and sales rep or sales rep group.
The Work Orders List program has been replaced by a new export called “Work Orders”.
Additional columns have been added to the Sales Order Lines export, including “Quantity Remaining to Ship”, “Weight Remaining to Ship”, “Extended Price (quantity remaining to ship)”, “Extended Cost (quantity remaining to ship)”, as well as custom columns which are automatically created based on your Line UDF fields, if applicable.
The value in the Enter Sales Order Payments screen’s Amount field now defaults to the value displayed in the Balance Due field.
The Manage Sales Order Shipments program now allows you to correct sales tax. This option is labeled “Correct sales tax” on the Options menu. This new option will launch a program called “Correct Sales Tax” that will allow you to add/delete resale and exemption certificates.
The Manage Sales Order Shipments program now allows you to quickly return inventory to stock. This is especially beneficial for heat-traceable inventory. As shown below, if a shipment has been invoiced, the resulting invoice has been posted, and a customer credit has been issued, the new [Return Inventory] button on the Packing List Tag Detail screen will allow you to return specific inventory to stock based off the sales order shipment details.
If the current sales order originated as a quote, a new option labeled “View summary quote information” is now included on the Enter/Edit Sales Transactions program’s Options menu. The Summary Quote Information screen will display the date the order was quoted, the quote expiration date, the user who entered the quote, the date the quote was converted to an order, and the user who converted the quote to an order.
An option has been added to the “Inactive Customers” export which will allow you to exclude customers with payment terms that are not processed through Accounts Receivable (e.g., customers who paid with cash).
As shown below, the icons in the Capstone menu bar have been updated. As before, if you hover your mouse pointer over the icon, a tooltip will reveal the menu name.
The Workflow menu shown below has been added. This menu, accessed via the icon on the far-left side of the menu bar, logically steps the user through the primary programs used for Customers (Sales Orders workflow), Vendors (Purchase Orders workflow), and Warehouses (Inventory workflow).
A Favorites menu has been added to the Capstone menu bar which is accessed by clicking the “star” icon. The items that appear in the Favorites menu are selected by the user. Items can be added by right-clicking on any menu item (excluding the new Workflow menu) and selecting “Add to Favorites”. If a menu item is already in your favorites and you want to remove it, right-click and select “Remove from Favorites”.
An option has been added that allows you to set the default menu that will be displayed when logging into Capstone. As shown below, this option is located on the Configurations screen, accessed by clicking the [Manage Configurations] button on the lower-left corner of the Login Credentials window when signing into Capstone. The default options are the Favorites menu, the Top 20 menu, or the Workflow menu.
